1. Who we are and what this policy covers

The Sign Post Guy® installs, services and removes real-estate sign posts for realtors and brokerages in the Central Okanagan. This website is operated by 1244942 B.C. LTD., doing business as The Sign Post Guy ("we", "us", "our").

This policy covers our website, thesignpostguy.com, including the online booking form. It explains what personal information we collect through the website, why, who can see it, where it is stored, how long we keep it, how we protect it, and what rights you have.

We comply with British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

"Personal information" means information about an identifiable individual. It does not include business contact information used solely to contact someone in their professional capacity.

2. Our Privacy Officer

We have designated a Privacy Officer who is accountable for our compliance with privacy law. Questions, access or correction requests, and complaints go here first:

3. What we collect, and why

We collect only what we need, and we identify our purposes at or before the time we collect. This table is that identification.

Technical information — log data, device and browser type, IP address, approximate location derived from IPSecurity, spam prevention, and keeping the website working

We do not sell personal information. We do not use it for purposes beyond those listed without first obtaining your consent.

4. Who can see your information

Booking requests and email you send us are handled by our team in the Central Okanagan.

Service providers. We use carefully selected providers to run the website, and they may process personal information on our behalf under contract:

  • Cloudflare, Inc. — hosting for our website, spam protection on our website forms, and forwarding of email sent to our email addresses (see section 5);
  • Jotform Inc. — the online booking form (see section 5);
  • Google — the email inbox that receives messages sent to our email addresses (see section 5).

We require our service providers to protect personal information with safeguards comparable to our own and to use it only for the purposes we specify. We remain accountable for information in their hands.

Other disclosures. We may disclose personal information where required or permitted by law — for example, in response to a court order, a lawful demand from a regulator or law-enforcement agency, or to establish or defend a legal claim. We may also transfer information as part of a sale or reorganization of our business, subject to appropriate protections.

5. Where your information is stored and processed

Email you send us. Email sent to our email addresses (including our Privacy Officer) passes through the systems of Cloudflare, Inc. and is stored in Google's systems. Both are United States companies, and this information is held outside Canada, primarily in the United States.

Online booking requests. Requests submitted through the booking form are collected and stored by Jotform Inc., a United States company, on servers in the United States.

Our website. Our website is hosted by Cloudflare. The spam protection on our forms processes technical information about your visit, such as your IP address and browser, which may be handled outside Canada.

What this means. While information is in another country, it is subject to the laws of that country, and may be accessible to the courts, law enforcement and national security authorities of that country. If you have questions about this, contact our Privacy Officer.

6. Consent

How we obtain consent. We rely on your consent when you submit a booking request or send us an email, giving us your information for the stated purpose.

Withdrawing consent. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Contact our Privacy Officer. Withdrawing consent does not apply retroactively to information we have already lawfully used or disclosed, and does not affect information we are required to keep.

7. How long we keep your information

We keep personal information only as long as necessary for the purposes it was collected for, or as required by law. When it is no longer needed, we securely destroy it or irreversibly anonymize it.

InformationRetention
Booking requests1 year after the request
Email you send us1 year after we receive it
Technical and log data12 months

Where we have used personal information to make a decision that directly affects you, we keep it for at least one year after making that decision so that you have a reasonable opportunity to request access to it.

8. How we protect your information

We maintain administrative, physical and technical safeguards appropriate to the sensitivity of the information:

  • Encryption in transit.
  • Spam protection on our website forms.
  • Least privilege — only the people who handle your request can see it.
  • Vendor obligations — our providers are contractually required to maintain appropriate safeguards.

No system is perfectly secure. If a privacy breach occurs that creates a real risk of significant harm to you, we will notify you and the appropriate regulator as required by law, and we maintain records of breaches as required.

9. Your rights

You have the right to:

  • Access the personal information we hold about you, and information about how it has been used and to whom it has been disclosed;
  • Correct inaccurate or incomplete information. If we disagree that a correction is warranted, you may require us to annotate the record with your requested correction;
  • Withdraw consent, as described in section 6;
  • Ask questions and make a complaint about how we handle your information.

How to make a request. Write to our Privacy Officer (section 2). Please describe what you are looking for as specifically as you can. We may ask you to verify your identity before we release information.

Our timeline. We will respond within 30 business days. If we need more time, we will tell you before the 30 days are up, explain why, and tell you when to expect our response. If we must refuse all or part of a request, we will tell you why and tell you how to complain.

Fees. We do not charge individuals for access to their own personal information.

10. If you are not satisfied

Please contact our Privacy Officer first — most issues are resolved quickly. If you are not satisfied with our response, you may complain to the appropriate regulator:
